This Privacy policy explains how Notary Public Hub (the “Platform”) collects, uses and discloses personal information when you use our website, chat, online submission and appointment tools. It should be read with our Terms & conditions.

1. Who we are

The Platform is a booking and document-submission website. It is not itself a notary public practice. Notarial services are performed by independent notary public providers (including Alton Legal). Depending on how you engage, personal information may be handled by the Platform operator for hosting and routing, and by the provider who performs the notarial work.

2. Information we collect

We may collect: • identity and contact details (name, email, phone); • account and sign-in information (for example one-time email codes or Google sign-in); • matter details you enter (service type, destination country, purpose, document descriptions); • files you upload (scans or photos of documents); • appointment preferences and booking history; • chat and FAQ interaction content; and • technical data such as IP address, device/browser type, and cookies needed to operate the site and remember language or session preferences.

3. Why we collect it

We collect personal information to: • operate the Platform and your account; • create and manage draft or submitted requests; • share your request and uploads with the appointed notary public provider; • schedule and manage appointments; • communicate about status, codes and bookings; • improve security and prevent abuse; and • meet legal and professional record-keeping needs where applicable.

4. Disclosure to providers and others

When you start a request, upload documents, or book an appointment, relevant information is disclosed to the notary public provider handling your matter so they can assess and perform the service. We may also use infrastructure providers (hosting, email delivery, authentication) under arrangements that require appropriate handling of personal information. We do not sell your personal information.

5. Overseas disclosure

If your matter involves overseas use of documents, information may need to be disclosed to foreign authorities, embassies or authentication bodies as part of the service you request. Those disclosures are directed by your instructions and the requirements of the destination.

6. Storage and security

We take reasonable steps to protect personal information against misuse, interference, loss, and unauthorised access. No method of transmission or storage is completely secure. You should only upload documents over a trusted connection and avoid sharing access codes.

7. Retention

We retain Platform records for as long as needed to provide the service, resolve disputes, and meet legal or professional obligations of the Platform or the provider. Notarial records held by a provider may be retained under their professional rules separately from the Platform.

8. Your rights

Under the Australian Privacy Principles you may request access to, or correction of, personal information we hold about you, subject to legal exceptions. Contact [email protected]. If your request relates to a completed notarial engagement, we may need to refer you to the provider who holds the professional file.

9. Cookies and similar technologies

We use cookies and local storage as needed for sign-in sessions, language preference, visitor chat continuity, and basic site operation. You can control cookies through your browser settings; some features may not work if they are disabled.

10. Changes and contact

We may update this policy by publishing a revised version on this page. Privacy enquiries about the Platform: [email protected]. Provider privacy practices (for example Alton Legal) are described on the provider’s own website where applicable.

* The 15% online submit discount applies only to Society of Notaries NSW guide notarial fees quoted when you complete and submit a request through this portal. It does not apply to disbursements (including DFAT, embassy or consular fees, ASIC searches, postage or courier), third-party charges, hourly work outside the quoted guide items, or services arranged outside this portal. Availability of the discount may be withdrawn or varied. Final fees are confirmed by the notary public provider before work proceeds. This website is a booking and submission platform and does not itself provide notarial services.
